Cloud & Microsoft 365 bids in Chicago, IL — three quotes on one sheet.
cost per managed mailbox per month
Chicago is not a market where finding an MSP is hard; it is a market where comparing them is. Roughly 195 providers keep an office inside the CBSA, spread across the Loop, the Schaumburg and Naperville corridors, and Elk Grove Village, whose industrial park alone holds several thousand tenants. That works out to about 6.0 providers per thousand mid-sized establishments, thinner than a lot of smaller metros, and the mix is what does the damage: a downtown firm built to serve proprietary trading desks and a suburban shop built to serve forty-person distributors will both answer the same RFP, and their proposals will not be measuring the same thing. Expect co-managed offers to arrive alongside full-outsource offers without either being labelled as such. The salary comparison also lands differently here than in a secondary market. A network administrator in Chicago carries a BLS median near $103,170, so hiring internally is a six-figure decision before benefits load, and whoever you hire is inside commuting distance of every bank and exchange in the country. Read the escalation path in each bid before you read the price.
Provider counts are the MSPs we can currently invite in this metro, not every MSP that exists here. The second number is always smaller than the first, and we would rather show you both than round one up.

Bidder C is $1,150 a month cheaper on the headline and leaves 16 servers uncovered. Normalized per endpoint it is more expensive than Bidder A, backup is quoted on top, and every after-hours incident bills at $185 an hour against a 36-month term. This is the line the tabulation exists to surface.
What each pricing model leaves out.
Per mailbox
Shared mailboxes, resource accounts and the Entra objects that carry no mailbox at all but still need governing.
Per tenant, flat
Growth. A flat tenant fee is cheap at 40 seats and quietly expensive at 90, and the re-tier trigger is rarely written down.
Project fee for migration
Cutover weekend labour, mailbox remediation, and the PST backlog nobody scoped. Ask what happens on the second attempt.
Licence resale margin
That the management fee looks low because the margin sits on the licences. Ask for the CSP price and the service fee as two numbers.
What a cloud & m365 bid must answer.
Are Microsoft licences resold with a margin, and is that margin disclosed separately?
Who administers the tenant, and do we retain Global Administrator?
Is Exchange Online / SharePoint backup included, or assumed to be Microsoft's job?
What is the fixed price of the migration if the first cutover fails?
What actually drives IT spend in Chicago.
CME Group and Cboe anchor a dense ring of proprietary trading firms, introducing brokers and clearing operations across the Loop and the West Loop, and even a twenty-person shop that carries a broker-dealer registration inherits FINRA's supervision, communications-retention and business-continuity obligations. That turns ordinary MSP decisions — mailbox journaling, chat archiving, who can approve a firewall change — into examination evidence, which is not how a general-practice provider is used to thinking about a helpdesk contract.
SourceChicago's restaurant groups, ticketing and hospitality operators, and the retail chains headquartered around the metro run card-present estates spread over dozens of leased locations, each with its own network closet and its own installer history. The v4.0.1 requirements on segmentation evidence and on inventorying scripts in the payment page are exactly the sort of ongoing work that gets written out of a low monthly bid and reappears as a project fee.

What buyers in Chicago ask us.
- With 195 MSPs in Chicago, why is it still hard to get comparable bids?
- Because the 195 are not one bench. Against roughly 32,400 establishments in the 20-to-499-employee band that is 6.0 providers per thousand, but they range from four-person suburban shops to national firms with a Loop sales office. The practical fix is to fix the unit yourself: state seat count, site count and after-hours expectations in the RFP, and require every bidder to price against that.
- Do Chicago MSPs charge extra for the collar counties?
- Frequently, and it is rarely on the first page. Providers based downtown often price onsite response for Cook County inside the monthly fee and treat DuPage, Lake, Will and Kane as travel-billable, while suburban providers do the reverse for the Loop. If you have offices in both rings, ask for the onsite clause and the travel radius in writing before comparing monthly numbers.
- Our Illinois firm has a broker-dealer affiliate. Does that change the MSP requirements?
- Substantially. FINRA supervision and recordkeeping obligations mean email and chat retention, access approval records and a tested business-continuity plan become examinable artifacts, not internal hygiene. Ask each bidder whether it has produced evidence for an examination before, who signs the change-control record, and whether archiving is included or a separate licence. A provider that has never sat through one will underprice the work.
- Is an in-house hire cheaper than an MSP in Chicago?
- At small scale, seldom. The BLS metro median for a network and computer systems administrator here is about $103,170, and loaded cost lands well above that once benefits and payroll taxes are added. One person also cannot cover nights, holidays or a second site, and arrives without an EDR licence, a patching platform or a SOC behind them. Compare one administrator plus tooling against a contract, not salary against monthly fee.
